At Rock Payroll we understand the importance of budget and planning. That is why we prepare a draft calculation of the total costs based on the remuneration package of the employee you want to hire after our introductory call.
As part of your decision process, we want you to know what you can expect as the monthly costs of your employee and whether the EOR solution is a viable option for your organization.
Our feesGathering Information
After discussing your situation and the costs involved we are ready to take the next steps. During this stage we will focus on gathering the necessary information to complete the paperwork and finalise the calculation of the total costs.
Even though payrolling (making use of an Employer of Record) is a process that we have standardised, due to the ever developing laws in this sphere and the per client specifics, substantial information and utmost attention to detail is necessary to ensure a successful set up.
Following your input in Step 1 “Introduction Call” we prepare a tailormade list of the necessary documents and information we need from you and gather this.
Preparation of employment
For the Employer of Record construction, there are two contracts:
The employment contract between the employee and Rock Payroll;
The secondment contract between Rock Payroll and your company/organization covering the terms and fees of Rock Payroll.
Both contracts are linked to each other.
When we have the full information and documents from the before step, we will prepare the draft version of the agreements and forward them to you for a review. We are available to answer all the questions you have about them to ensure you feel confident that everything will go smoothly.
Visa and residence permit application
When the contracts are ready, we can proceed with the immigration process.
There are 3 types of applications:
- Employees who reside abroad and require a visa to be able to enter the Netherlands;
- Employees who reside abroad, but do not need a visa to enter the Netherlands (Australia, Canada, Japan, New Zealand, the United States (USA), South Korea, Monaco, and Vatican City, please check here).
- Employees who already reside in the Netherlands and need to extend their permit when switching their employer;
We will work together with a professional to apply for the permit. Normally, the application for a Highly Skilled Migrant permit takes between 3-4 weeks, but can officially take up to 3 months.
Collecting the residence permit
When the application for your visa and residence permit are approved, the Immigration Authorities prepare the residence permit. It is often needed to first provide biometric details (photo and fingerprints). When that is done, the permit is issued and the employee can collect it from one of the offices of the Immigration Authorities. It is often the case that it takes a bit longer for the permit to be created. That is why there is the option to collect a temporary sticker in the passport which already allows the employee to start work while the permit is being issued.
Registration at the municipality
Only after the residence permit is issued can the employee register as a resident at the municipality and obtain their citizen service number (BSN).
For the process of registration, the employee will need a rental contract or other approval to register at a given address.
Registering at the municipality is crucial, because without the BSN the payroll cannot be properly started, the 30% ruling cannot be applied for and other steps which are part of the relocation process cannot be completed. It is also mandatory to register for healthcare insurance for the residence permit and for everyone living and working in the Netherlands. If getting an appointment to register takes longer, of if the employee does not become a resident, it can be decided to register as a non-resident. The employee will then receive an RNI number.
Enjoying the Netherlands
When the above steps have been taken, for the employee normal life in the Netherlands starts. Rock Payroll will be taking care of the payslips and payment to the employee on behalf of your organization. And if there are any issues, we are here to help!
